Our Positions

Executive assistant – Montreal

The Executive Assistant provides high-level administrative and organizational support to the management team (President, Vice Presidents, and directors). They play a key role in facilitating the daily management of activities and participating in various special projects. A proactive attitude, as well as the ability to adapt to changing priorities in a dynamic and fast-paced environment, are essential.

Responsibilities

Manage the schedule and organize appointments, meetings, and travel for the management team.
Prepare reports, presentations, and documents needed for meetings.
Ensure communication between management and various company departments, as well as with external partners.
Organize meetings, prepare agendas, attend meetings, and follow up on action items.
Manage administrative and confidential documents, including filing, archiving, and preparing specific files.
Assist management in decision-making by providing relevant information and analysis.
Proactively manage emails, keep the President’s calendar up to date, and ensure deadlines for meetings are met.
Handle information, sometimes managing competing priorities without sacrificing work quality.
Prepare monthly expense reports and reconcile accounts.

Qualifications

Handle sensitive or confidential communications and data with discretion and tact.
Degree in administration, management, or a related field.
Previous experience as an executive assistant or in a similar role.
Team spirit and a high degree of professionalism in interpersonal relationships.
Excellent communication skills, both oral and written (Bilingual).
Ability to manage confidential information with discretion.
Strong organizational skills and ability to manage multiple tasks simultaneously.
Proficiency in Microsoft Office Suite.
Ability to work independently and as part of a team.
Strong sense of planning, organization, and time management.
Service-oriented and able to anticipate management’s needs.

Job Type: Full-Time
Salary: Starting at $65,000 per year
